Administrative Assistant of Plant Operations

The Administrative Assistant of Plant Operations works to support all of the Departments activities. Plans and organizes the work order system, assigns work to, supervisors and engineers, and reviews the documentation to assure the work is completed on schedule. The Assistant assists the Department with the EOC to comply with the Regulatory Agencies and the DNV. The Assistant assists with development and maintenance of the Departments Data Base, Project Schedules, Project and Facilities Documentation, and Purchase Order System. The Assistant supports the hospital’s Safety, Security, Hazardous Material and Waste, Emergency Preparedness, Life Safety, Medical Equipment and Utility Systems programs. Revises and creates Policy and Procedures in the EOC to comply with changing regulations.



Job Responsibilities/Duties

  • Reports to the Vice President, Facilities Development regarding the Departments Data Base integrity of each hospital.
  • Establishes and maintains manual and automated filing systems to update and track information.
  • Administers contracts in the Department (e.g. architectural, professional engineering, construction, operational, etc.).
  • Organize and maintain all Projects documentation, Insurance, Performance Bonds, RFP’s, Scope of Work, IOR Daily Inspections, OSHPD Field Reviews, Change Orders, Project Cost, Bid information and other construction documents. 
  •  Ensures all project documents are available in hard and soft copy.
  • Coordinate with the Director of Plant Operations the activities of the Department and assists with the required documentation.
  • Creates and Maintains the EOC statistical reports, obtaining Data from various sources and Hospital Departments.
  • Schedules required meetings (e.g. construction, safety, education, etc.) and transcribes meeting minutes.
  • Assists with the administration of the Los Angeles County Disaster Hospital Preparedness Grant contract.
  • Administers the Purchase Order System for the Department. Assures that Accounting received the proper documentation timely.
  • Administers the CER Tracking program and informs management of the status of CER’s.
  • Creates and assists with Department spreadsheets to monitor Construction, Remodel and Renovation projects of facilities.
  • Establishes and maintains current inventory of all blueprints for each hospital.
  • Assists the Director of Plant Operations with the preparation of required documentation required by DNV, DHS, CMS.


Qualifications

Minimum Education: High school graduate, Bachelors degree in Engineering and/or Architecture preferred or equivalent combination of education and/or experience.

Minimum Experience: The candidate should possess a minimum of ten (10) years experience in hospital plant operations in the Engineering Department and must poses strong mechanical and technical background in facilities management. Excellent communication, organizational and prioritization skills Strong computer and word processing skills required. 

Req. Certification/Licensure: Valid drivers license.
