Operating Room (OR) Schedule (Surgery) - Full Time, Days (Culver City)

The Operating Room (OR) Scheduler is a member of the operating room team who under the direct supervision of the Perioperative Clinical Supervisor and the Perioperative director assists in ensuring efficient management of the Surgery, Endoscopy Lab, Ambulatory Care Unit and Cardiac Cath Lab schedules. The Operating Room (OR) Scheduler functions as the primary coordinator for the scheduling of all elective surgical procedures and entry of all data in the computer system. In addition, the Operating Room (OR) Scheduler is responsible for all clerical functions and computer data functions for the Perioperative Departments. The SOperating Room (OR) Scheduler communicates equipment and supply needs specific for the adolescent, adult and geriatric patient. Troubleshoots and resolves issues as they arise. Functions as a role model and resource to staff and patients.

Job Responsibilities/Duties

  • Schedules all elective surgical procedures by receiving information from physician/office staff regarding: a) type of case, b) required date, c) patient information. Organizes booking information into surgical schedule, taking into account equipment, room, procedural and age-related information. Coordinates all inpatient and outpatient procedures. Coordinates with appropriate departments to ensure all applicable equipment, instruments and rooms are available. Communicates special equipment, instruments, and supply requests in writing to the Materials Coordinator to encompass specific needs for the adult and geriatric patient. Communicates requests for x-rays to the Radiology Department. Reviews and updates surgery schedule daily. Works in collaboration with the Anesthesia Department to follow established guidelines for scheduling the required number of rooms on a given day. Verifies all patient names, procedures, surgeons, and times with the Admitting Department for the following day. Obtains all missing patient information from the physician’s office, as well as, name of assistants, equipment needs, special requests, and positions Prepares and distributes the surgery schedule to appropriate departments, maintaining patient confidentiality in the process.
  • Obtains and enters necessary booking information from person requesting surgical time. Organize, manage and store records in proper order. Keeps privilege book, surgeon profile, and proctor lists updated. Checks each patient record for completeness and then enter charges in the computer system. Verifies all charges from printout within 24 hours. Types correspondence, departmental memos, and other information as requested. Transcribes the schedule to the board for the following day. Keeps patient and employee information and all correspondence confidential.
  • Collaboratively communicates any changes affecting the next day surgery schedule to nurse in charge and discusses the Anesthesia equipment and supply needs with nursing staff, materials coordinator, vendor and physicians. Communicate messages to appropriate personnel. Generates patient changes by gathering and checking information, changes, documenting information and distributing changes to the appropriate departments. Keeps department Director informed of changes, discrepancies or equipment/supply problems.
  • Actively engages in caring behaviors, taking conscious ownership for work and takes a proactive, deliberate, and thoughtful actions regarding work activities. Demonstrates appropriate use of independent judgement and decision making. Answers the telephone in a professional manner and demonstrates excellent customer service at all times. Ensure patients privacy and dignity at all times.


Minimum Education: High School diploma or equivalent required.

Minimum Experience: One (1) year of experience as a Unit Secretary or OR Scheduler in an acute care facility required. Must demonstrate customer service skills appropriate to the job. Excellent Communication and Organizational Skills. Must be able to effectively read, write, and communicate in English. Understanding of basic medical terminology required. Bilingual skills to communicate effectively with patients and families preferred.  

Req. Certification/Licensure: Hospital Fire and Life Safety Card (Los Angeles City Employees only) required. AHA Basic Life Support required.
